Commitment

Time required

Volunteers are asked to commit to a regular weekly or fortnightly schedule to support the ongoing management and preservation of the archive collection. This typically involves approximately 3 hours per week or 6 hours per fortnight, with some flexibility to accommodate individual availability. Article-writing components of the role may be completed either on site or remotely.

Training

Guide Dogs Victoria will provide orientation, training, and ongoing support to help volunteers succeed in the role.While prior archive experience is not essential, volunteers should have strong written communication skills and be comfortable researching and writing stories based on historical records. An understanding of archival, museum, library, records management, or heritage environments would be highly regarded.

About the Role

Help preserve and share the rich history of Guide Dogs Victoria.

As a Heritage & Archives Volunteer, you will play an important role in preserving our organisational history and ensuring valuable records, photographs, and artefacts remain accessible for future generations.

Working with historical materials, you will assist with organising and maintaining archive collections, while also helping uncover and share the stories that have shaped Guide Dogs Victoria over the years.

This role is ideal for someone who enjoys history, research, organisation, and storytelling, and would like to contribute to preserving our legacy for use in research, exhibitions, publications, and special events.

Key Responsibilities

  • Sort, catalogue, and file archival records, including both physical documents and digital files.
  • Digitise historical documents, photographs, and memorabilia in accordance with organisational procedures.
  • Maintain the integrity, security, and confidentiality of archival records.
  • Assist with research requests by locating and retrieving relevant archival materials.
  • Support the development of displays, exhibitions, publications, and other projects that showcase Guide Dogs Victoria's history.
  • Research and write feature stories based on historical records, photographs, and memorabilia for newsletters, websites, and special occasions (approximately 4–6 articles per year).
  • Undertake general archive maintenance activities, including organising, labelling, cleaning, and ensuring the appropriate storage of materials within the Archives Room.
  • Assist with other archive-related projects and duties as required.
